Guidelines for Building Mcard Access and Key Issuance
Building Access Guidelines for Ruthven Building Staff
Ruthven Facilities and Operations manages all key distribution and MCard access for the Ruthven Building. Requests for keys and building MCard access may not be made directly to the key office.
The building is open from 7:30 a.m. to 5:30 p.m., Monday through Friday, with the Main Rotunda door unlocking at 7:30 a.m. and locking at 5:30 p.m.
Building keys and MCard access are available only to Ruthven building staff. Employees are responsible for keeping their keys and MCards secure and must not loan them to others.
For new Ruthven staff, key requests should be submitted through the Ruthven Onboarding Form (Click here to fill out an Occupant Form). Requests for additional keys must be approved by the Key Administrator and sent to [email protected].
Keys and MCards are non-transferable. Individuals who are no longer eligible to have Ruthven Building keys or MCard access must notify the Ruthven Building Manager and return the key(s).
If keys or MCards are lost, report them immediately to the Ruthven Building Manager at [email protected].
The Building Manager maintains a database of key holders, key numbers, and MCard access details. An annual review will be conducted with key administrators to ensure accuracy and compliance.
Access and Request Procedures for Non-Ruthven UM Staff
Access requests for non-Ruthven UM staff must be completed by a Ruthven staff member and approved by the Department Key Administrator. Please ensure that the access request form is filled out completely for each individual needing MCard access.
After submitting the form, you may receive follow-up questions from Ruthven Facilities to clarify details. Allow up to three business days for processing each request. Once access has been granted, Ruthven Facilities will notify you by email.
Temporary access is granted for up to 6 months. A reminder will be sent before the term expires so you can request a renewal if needed. The requestor is also responsible for communicating the Ruthven rules and guidelines to the non-Ruthven UM staff member.

Department Key Administrators are responsible for submitting a Building Occupants form, which notifies Ruthven Operations of the following services for both onboarding and off-boarding purposes:
- Key distribution
- After-hours building access
- Mail services
- List of building occupants and relevant building email groups
- Phone needs, if new
